Form 34 Tracking in Outlook

of Form 34 activties throughout the year in Microsoft Outlook:
I keep a record of all my CAP activities
in my Outlook calendar just like a business appointment. In the "Location" section
I insert the number of hours spent and the miles driven and any other pertinent
information. There is a feature within Outlook called a "Label," that
allows you to color code every appointment. I have named one of the labels "CAP" and
have given it the color blue. There hasn't been a way to sort these "appointments" in
Outlook, but I learned that there is a free upgrade that will remedy that
shortcoming.

is a free upgrade for those who have Office 2003 or Microsoft Office Small
Business Edition. It is a sizable download, but can be well worth the time.
Once the upgrade is done, click
here to download the "add-in" called "Outlook
Calendar Views." Install
both downloads and presto, you can now create a filter that will enable you
to print up ONLY the appointments that you labeled as CAP. Here's how:
Open Outlook. You fill find a floating box called "Calendar Views." If
it is not there, you will also find it under the "Tools" Menu. Click
on "Add Filtered View." In the box on the left, click on the colored "Label" you
have given to your CAP events. Name the new view in the box at the top i.e. "CAP
Events." Click "O.K." Click "O.K." again. You will
find your new Filter View listed in the box to the left of your calendar under "Current
View."
Click on that filter and you will see only your CAP activities
on your calendar. You can now print up a report (I suggest the "Calendar
Details Style" report in your Outlook Calendar). Set the parameters
for the period to be covered by the Form 34. All the information you will
need for your report will be contained in that report. Instead of a 35 page
or so report that lists everything you have done, it will be only a few pages
containing ONLY your CAP activities. All you will have to do is compile the
listed events and place them in the appropriate locations on the Form 34.
It will probably take about a half hour or forty-five minutes to set it all
up, bit it should simplify the reporting task considerably.
